Assess the change impact before assigning training
A new SOP release does not automatically mean full retraining for the entire plant. The document owner should identify what changed and which roles, lines, products or shifts are affected.
If a revision only changes the cleaning method on one line, assigning it to every production employee creates activity without improving control. Missing a substitute operator or maintenance role, however, can create a real gap. The population should come from change impact rather than an old mailing list.
Link the training deadline to the SOP effective date
For a material change, decide whether training must be completed before the instruction takes effect or whether a transition period is acceptable. That is a process decision based on risk.
The system should show outstanding people and reminders before the deadline. Absence, leave and people joining after publication need an explicit rule. An aggregate “96% complete” metric does not reveal whether the missing four percent are the people about to perform the changed task.
Phone access solves only one part of the problem
Many production employees do not have individual work computers. Short training that opens in a phone browser can reduce the access barrier, but it does not replace work-time planning and supervisor accountability.
Define when the material should be completed, who reacts to non-completion and how people without an appropriate device are supported. A tool should support the operating process rather than shifting organisational cost onto the employee.
The report should connect the document change to people
For an audit or internal review, the organisation should be able to navigate in both directions: from the SOP to everyone affected by the revision and from a person to the SOP version that applied to them.
The report should show the version, effective date, required population, completions, results, overdue items, repeats and exceptions. If practical authorisation is required, retain it as a separate criterion rather than replacing it with an online quiz.
Questions worth asking
Does every new SOP version require retraining everyone?
Not always. The response should follow the impact of the change. An editorial correction may need only a review record; a changed critical step may need full retraining and reassessment.
Can an employee complete the training on a phone?

What about someone returning after a long absence?
Apply the current requirement. If a material revision entered into force during the absence, assess whether the person needs training before performing the task again.
